Demo Secondary School ("the School", "we", "us") is committed to protecting the privacy of our students, parents, guardians and staff. This privacy policy describes how we collect, use, disclose and safeguard personal data in accordance with the data-protection law of the country the School is established in, and applicable international standards where relevant.
By enrolling a student or by using our online portals, you acknowledge that you have read and understood this policy.
1. Information we collect
- Student personal data: full name, date of birth, gender, nationality, home address and passport photograph.
- Academic records: enrolment details, class assignments, subject scores, continuous assessment results, terminal examination results and report cards.
- Parent and guardian information: names, contact numbers, email addresses and relationship to the student.
- Financial records: fee invoices, payment history and receipts generated through our payment systems.
- Health information: any medical conditions or special needs disclosed during enrolment, used solely to support student welfare.
- Digital activity: sign-in times, pages used within the student or parent portal, and technical diagnostics used to keep the system stable.
2. How we use your information
- To enrol, register and manage student academic records throughout their time at the school.
- To communicate academic progress, examination timetables, fee statements and important school notices to parents and guardians.
- To process and track fee payments and issue official receipts and invoices.
- To comply with the requirements of the education authorities that regulate the School.
- To prepare and submit examination registrations to the examination bodies the School works with.
- To produce statistical reports for school administration, improvement planning and accreditation. All such reports use aggregated, anonymised data.
3. Parental rights and student data
- Parents and legal guardians have the right to access, review and request correction of their child's personal data held by the school.
- You may request a copy of the data we hold about your child by submitting a written request to the school office.
- Parents may withdraw consent for non-essential data processing at any time, though this may affect access to some online portal features.
- Older students may also exercise data rights directly, as the applicable data-protection law allows.
- We respond to all data access or correction requests within 30 days of receipt.
4. Data security
- Student and parent data is stored on secured servers, encrypted in transit (TLS/HTTPS) and at rest.
- Access to personal data is restricted to authorised school staff on a need-to-know basis. All staff with data access are bound by confidentiality obligations.
- We carry out regular security assessments and keep access logs for every system that handles personal data.
- If a data breach may affect your rights or interests, we will notify the people affected and the relevant authorities without undue delay.
- Administrator access to school management systems uses multi-factor authentication.
5. Data sharing and third parties
- We do not sell, rent or trade personal data with third parties for commercial purposes.
- Student data may be shared with education authorities where the law requires it, and for examination registration.
- We use service providers (cloud hosting, payment processors) who are contractually bound to process data only on our instructions and to keep it secure.
- If the school merges, is acquired or changes management, data would be transferred under equivalent privacy protections.
- Data shared with an examination body is governed by that organisation's own privacy policy, of which parents will be informed.
6. Your rights
- Right of access: you may request a copy of the personal data we hold about you or your child.
- Right to rectification: you may ask us to correct inaccurate or incomplete data.
- Right to erasure: in some circumstances you may request deletion of data, subject to our legal record-keeping obligations.
- Right to restriction: you may ask us to limit how we process your data while a complaint is resolved.
- Right to data portability: you may request your data in a structured, machine-readable format.
- Right to object: you may object to processing for purposes other than direct educational administration.
